On 16 September, we gathered at Urania in Zagreb for From Office to Site, a VOLUM3 panel discussion on the everyday realities of project coordination.

The starting point was simple: a project may be designed in the office, but many of its most important questions appear elsewhere: during a site visit, before installation, in a coordination meeting, or at the moment someone needs to confirm which drawing, task, or specification is current.

What followed was an open and lively discussion that moved well beyond the original questions. Rather than focusing only on tools, the panel explored how information moves through a project, where it gets lost, and what teams need to make decisions with more confidence.

Different roles, one shared challenge

The panel brought together perspectives from different stages of the project process with Damir Mance (A_minimal and the Faculty of Architecture), Lucija Ivas (Forel projekt), Antonio Ščavničar (Alukönigstahl Hrvatska), Ljubica Prlić (Metal Koncept), Alberto Vranješ (Korkyra & Makro5). The discussion was moderated by Filip Zrnčić from VOLUM3.

From design and supervision to technical support, production and construction delivery, each panellist brought a different view of the same challenge: making sure the right information reaches the right person at the right time.

The conversation touched on familiar situations for anyone working on an architecture or construction project. A plan is updated, but not everyone sees it. A site issue is photographed, but the image stays in a private chat. A decision is made during a call or meeting, but the people who need it later cannot find it quickly. A product needs to be ordered or installed, but the approved specification is unclear.

These moments may seem small on their own, but they can interrupt work, slow down coordination and create room for avoidable misunderstandings.

A practical response: VOLUM3 Mobile

During the event, we also introduced the VOLUM3 mobile app as one practical response to many of the challenges discussed on the panel.

The app extends the shared VOLUM3 project workspace beyond the desktop, helping teams access the information they need while working on site or away from the office. Plans, tasks, comments, photos, meeting content, and specifications can remain connected within the same project environment.

In practice, that means a team member can open the current plan, identify an issue at a specific location, create or update a task, add a photo and comment, assign responsibility and follow the status of that issue without moving between separate chat groups, folders and email threads.

The mobile app also supports access to current plans and tasks when the internet connection is unstable. Plans can be downloaded for offline use, while task updates, comments and photos created offline are synchronised when the connection is restored.

The aim is not to add another platform to the project. It is to reduce the distance between the information created in the office and the decisions that need to be made on site.
